Position Summary: 

The primary roles are administrative and certain clinical duties under the direction of the office manager and administrator.  The combined role of MA/Surgery Scheduler assumes responsibility for surgery scheduling, insurance authorizations, backup support for both the front desk and clinic medical assistants.  The MA will make patient service and conveying a positive image a core part of daily work.

Care Center Description: 

Proliance Eastside ENT is high energy practice with five ENT physicians practicing in three clinic locations (Bellevue, Kirkland and Redmond) and doing surgery in both Bellevue and Kirkland. 

Position Description: 

Surgery Scheduling

  • Prepare the patient with all clinical and administrative information needed for surgery as directed by physician
  • Answer patient questions and provide reassurance and empathy for all patients
  • Be especially sensitive and aware of patients who are anxious about surgery
  • Seamlessly coordinate all aspects of scheduling PEENT patients for surgery including but not limited to:
    • Coordination with the place of surgery
    • Authorization by insurance company
    • Financial estimates
    • Coordination with cardiologists, lab or other providers

General office duties -  

  • Send/receive patient medical records
  • Obtain lab/x-ray reports, hospital notes, referral information, etc.
  • Complete forms as needed
  • Verify insurance coverage and patient demographics
  • Manage charts to ensure information is completed and filed appropriately

Font Desk Support –

  • Provide support to the Bellevue office front desk team member when patient and or call volumes are high
  • Responsibilities include answering and directing patient calls
  • Scheduling appointments via telephone and in person
  • Checking-in patients and collecting co-pays

Medical Assistant Support

  • Cover MA duties for three physicians when their assigned MA uses PTO; this is approximately 15 weeks each year
  • MA responsibilities include routine clinic duties:
    • Organizing patient flow
    • Preparing exam rooms
    • Keeping rooms clean and stocked with necessary supplies
    • Cleaning and sterilizing instruments and disposing of contaminated supplies
    • Accurately record patients’ medical history, vital signs, and test results in medical record
  • Additional duties as assigned

  • Ability to exhibit cooperation, flexibility and provide assistance when interfacing with patients, physicians and staff
  • Ability to demonstrate excellent problem-solving and organizational skills
  • Ability to understand and respect the need for confidentiality
  • Ability to show consistency and timeliness with attendance
  • Ability to cross-train to cover the Receptionist Desk, as needed.

Position Education, Experience or License Requirements:

  • Medical Assistant Certification
  • ENT experience desired
  • NextGen experience desired
