Job Summary

Proliance Surgeons is searching for an immediate full-time Front Desk Office Coordinator for its central office in downtown Seattle. This role involves both reception and office/facilities and administration tasks that are critical to the day-to-day functioning of Proliance Surgeons.

Responsibilities:
Reception
Ensure the treatment of callers and visitors alike is professional, courteous and efficient, leaving them with a positive impression of the central office and Proliance Surgeons.

  • Answer and direct incoming calls to the central office's main line
  • Promptly forward voice mails left in the general mailbox to the appropriate party
  • Welcome visitors and make the appropriate party aware of their arrival
  • Help keep the central office safe and secure by ensuring visitors are escorted by an employee before leaving the reception area; ensure coverage of the reception area at all times
  • Maintain the tidiness of the lobby, kitchen, and conference rooms

Office/ Facilities Administration
Fulfill a variety of recurring administrative tasks. Ensure the office has the necessary facilities, equipment and supplies to meet its needs; work in partnership with the Executive Assistants.

  • Process incoming and outgoing mail and shipping
  • Forward faxes to appropriate care centers
  • Reconcile company credit card statements
  • Coordinate regular maintenance of the office's multi-purpose machines (copy and fax machines)
  • Ensure adequate supplies are on hand in workroom, kitchen, and conference rooms
  • Maintain on-site storage space and serve as point of contact for off-site storage
  • Oversee employee parking arrangements with building management
  • Proactively communicate information that may affect the central office (e.g. road closures, building management updates, etc.)
  • Keep office telephone directory and employee mailboxes up to date
  • Post job postings onto the Proliance career page and other sites as directed
  • New hire setup and employee separation assistance
  • Manage the reception and info email boxes for the corporate office
  • Maintain vendor relationships
  • Maintain security access
  • Maintain subscriptions and memberships
  • Maintain manuals and warranties for office equipment
  • Fulfill other  general office administrative duties as assigned

Qualifications:
Education/Experience
• Bachelors or Associates degree
• At least three years of reception and administrative experience, ideally in a professional services environment; prior healthcare experience a plus
