This role involves both reception and office administration tasks that are critical to the day-to-day functioning of Proliance Surgeons.

Responsibilities:

Reception:

  • Ensure the treatment of callers and visitors alike is professional, courteous and efficient, leaving them with a positive impression of the central office and Proliance
  • Answer and direct incoming calls from the central office’s main line to the correct party
  • Promptly forward voice mails left in the general mailbox to the appropriate party
  • Welcome visitors and make the appropriate party aware of their arrival
  • Help keep the central office safe and secure by ensuring visitors are escorted by an employee before leaving the reception area; ensure coverage of the reception area at all times
  • Assist with new hire and employee separation process
  • Ensures the lobby is properly maintained

Office Administration:

  • Fulfill a variety of recurring administrative tasks. Ensure the office has the necessary facilities, equipment and supplies to meet its needs; work in partnership with the Executive Assistants
  • Daily open/close rounds
  • Process incoming and outgoing mail
  • Forward faxes to appropriate care centers
  • Reconcile company credit card statements
  • Coordinate regular maintenance of the office’s multi-purpose machines (copy and fax machines)
  • Manage multiple email inboxes and respond to incoming inquiries
  • Post open jobs to career site(s)
  • Ensure adequate supplies are on hand in workroom, kitchen and conference rooms
  • Supply ordering through multiple online vendors
  • Maintain onsite storage space and serve as point of contact for offsite storage
  • Oversee employee parking arrangements with building management
  • Keep office telephone directory and employee mailboxes up to date
  • Fulfill other clerical receptionist duties such as filing, photocopying, transcribing and faxing as assigned
  • Regular and punctual attendance is especially important when working in a small office and we count on every team member to help us deliver exceptional customer service

Qualifications:

Education/Experience

  • Bachelors or Associates degree
  • One to three years of reception and administrative experience, ideally in a professional services environment
  • Prior healthcare experience a plus
  • Be able to lift 25 pounds
