Proliance Pacific Rim Orthopaedic Surgeons is a locally owned and operated orthopaedic surgeons office and has been established in Bellingham since 1968. We provide comprehensive orthopaedic patient care for bone and joint conditions, helping people of all ages get healthy and stay that way.

Position Summary

Proliance Pacific Rim Orthopaedic Surgeons is seeking a per diem or part-time front office person who will be responsible for greeting and checking patients in and out of appointments; answering and directing phone calls; greeting and directing other customers; providing information to patients; obtaining demographic and insurance information from patients; scheduling appointments; collecting co-payments and obtaining authorizations for referrals. This position is also responsible for accessing and maintaining confidential patient PHI responsibly and according to HIPAA guidelines. Position includes other front office administrative duties as assigned.

Shift: Days, Evenings, Weekends

  • Greets patients in polite, prompt, helpful manner. Provides information to patients for registering. Obtains necessary patient information, including demographics/identification and insurance information; ensure accurate records. Informs appropriate staff of patient’s arrival.
    Answers phones in a pleasant, timely manner. Screens calls, takes messages, schedules patient appointments in accordance with office scheduling policies, makes appointments, and directs calls/messages to appropriate staff or physicians.
  • Completes necessary appointment paperwork. Assists patients in completing forms when patient requests help.
  • Collects payments on accounts: copayments, payments on account, form fees, surgery pre-payments, etc. Accepts credit card payments, cash and checks on account, and provides necessary batch information for business office to reconcile payments.
  • Other duties include:
    • Paperwork sorting, filing, delivery of messages and other correspondence to appropriate staff, courier deliveries, organizing office space, unpacking and organizing supply delivery.
    • Oversees and maintains clean, orderly waiting area, and reports problems or irregularities.
    • Performs other duties and projects as directed by the Administrator.
  • Adheres to all office policies/procedures, federal and state regulations/laws, including

HIPAA and OSHA/WISHA.

  • Participates in office staff training/and attends meetings.
  • Promptly notifies Office Manager/Physician of any health or safety hazards and follows precautions to establish and maintain a safe work environment.

  • Must be comfortable navigating a computer, using email, navigating internet and online websites and learning new computer programs
  • Must be courteous, positive and pleasant with a “CAN-DO!” attitude. Must be a team-player – there is no job in our office that is “not my responsibility.” We are a NO DRAMA, professional workplace.
  • Ability to work in a fast-paced office with frequent interruptions and be able to remain “cool, calm and collected”.
  • Must be comfortable speaking to patients about policies and enforcing them (including basic financial policies, i.e. copays due at time of service).
  • Ability to use and learn computer and computer programs, type 40+ WPM/10-key.
  • Ability to use multi-line phone system.
    Ability to communicate clearly and concisely in person and on the phone.
  • Ability to establish/maintain cooperative relationships with patients, families, physicians, staff and other customers.
  • Ability to read, understand and follow oral and written instructions.
  • Ability to organize and prioritize tasks effectively.

Education/Experience

GED or High School Diploma Required.

Skills/Knowledge/Abilities

  • Proficiency in operating and navigating computers, computer software, and internet websites
  • Type 40+ WPM
  • Experience with Microsoft Office Suite
  • Experience with medical office EMR/EHR a plus, but not required

  • Requires use of computer and telephone for majority of shift.
  • Requires sitting, some standing, squatting, walking.
  • Requires pulling, grasping, handling, filing paperwork.
  • Some bending and stretching required.
  • Manual dexterity required for use of computer keyboard and mouse.
  • Occasionally lifts and carries items weighing up to 25 pounds.
  • Requires working under fast-paced, stressful conditions or working irregular hours.
  • Requires work that has constant interactions with people.
