Established in 1990 as Lakewood Orthopaedic Surgeons, Puget Sound Orthopaedics serves the Puget Sound region with comprehensive orthopaedic care in musculoskeletal disorders. Our team comprises of 18 physicians with specialties ranging from joint replacement, shoulder care, spinal care, hand and upper extremity treatment, to sports medicine and podiatric care. They work with our certified physician’s assistants and a 100-member support staff to ensure a high level of contact and ongoing patient education. We work together with the centralized goal of delivering expert, individualized and compassionate care to every patient.

Position Summary

The Surgery Scheduler and Authorizations coordinator receives surgery authorizations and schedules and coordinates surgeries for assigned providers at the surgery center or hospital. Responsible to continually monitor the schedule looking for inefficiencies and attempts to organize the surgery schedule by filling vacant holes, phoning and documenting reminder calls to patients, and rescheduling patients as directed. Produce and obtain referrals and authorizations for various departments and specialty testing.

  • Process all authorizations through correct systems.
  • Properly handle denied authorization cases and seek resolution through involved parties.
  • Ensure documentations are ready to submit for authorization.
  • Maximizes office productivity through proficient use of software applications.
  • Assists in maintenance of business office supplies and organization.
  • Make sure the patient’s surgery and insurance is accepted.
  • Call patients to schedule surgery.
  • Mail patient surgery information packet with surgery date on it.
  • Annotate in related software if a patient wants a later date then was offered.
  • Performs surgery CPT/ICD-10 coding.
  • Researches and develops resources that create timely and efficient workflow.
  • Adheres to the practice’s Risk Management and Accounts Receivable standards.
  • Performs similar and incidental duties as assigned.
  • Distribute new patient paperwork to doctors for approval to see patient.
  • Performs similar and incidental duties as assigned.

Education/Experience

  • High school diploma or GED.
  • One year of previous insurance authorizations and or scheduling experience in a healthcare setting within the last three years preferred.
  • Completion of medical terminology, CPT/ICD-10, and insurance billing course preferred.
  • Bookkeeping or accounting course preferred.
  • Previous orthopedic experience preferred.

Skills/Knowledge/Abilities

  • Must be able to speak, read, and write the English language.
  • Must have knowledge of medical terminology.
  • Must be skilled in performance of basic computer/keyboard functions.
  • Must be able to communicate effectively.
  • Must be able to organize work and establish priorities.

  • Required to sit, stand and walk continuously
  • Occasional lifting of up to 25 pounds
  • Activities include stooping, bending, pushing, pulling, reaching, and occasional kneeling, crawling and squatting
  • High frequency of telephone usage and computer keyboard
  • Ability to see, hear, and speak continuously at a level to meet all essential functions of the job
  • Ability to prioritize and process with accuracy
